Which Sacramento County Records Are Open

There is no single countywide records database. The Clerk/Recorder keeps deeds, liens, vital certificates, fictitious business names, and several professional registrations. The Assessor keeps the assessment roll and parcel data. Sacramento Superior Court maintains its own case systems, while the Sheriff publishes current custody information. State agencies hold professional licenses, business filings, prison records, and other statewide files. Access can mean a free index, a limited portal result, an informational certificate, or a copy supplied after a formal request.

California's open-records rules do not erase other confidentiality laws. Protected voter details, sealed case material, confidential assessor forms, and confidential marriage certificates remain outside ordinary disclosure. The custodian decides what may be released and what must be withheld or redacted.

Custodian

The agency or office that creates or keeps a government record.

Index

A finding tool with names, dates, numbers, or document types. It may not include the record image.

Certified copy

A copy formally authenticated by the issuing office for an allowed use.

Exemption

A law that permits or requires an agency to withhold certain material.

Sacramento County Recorder Search

The Recorder's online index reaches documents recorded since 1849. It covers deeds, deeds of trust, reconveyances, assignments, liens, and other recorded instruments. A search can produce the document number, book and page, date, filing code, and named parties. Those are finding details, not the deed itself. The basic county index does not display the actual document image.

The advanced form is unusually detailed. Start with a document class or name, then narrow by date or known recording data. Grantor means the party transferring an interest; grantee means the party receiving it. Name roles vary with the document type.

Note: A name hit identifies a possible recorded party; the copy supplies the legal text needed to confirm the role and property.

Sacramento County Record Copies

Once the index supplies a document number or book and page, the recorded-document copy service offers four channels. A requester may mail or fax the order form, visit an office, or call 916-874-6334. Documents recorded since 1850 can also be viewed at county office locations. A certified copy costs $9 for the first page and $1 for each extra page. A non-certified copy costs $8 for the first page and $1 for each extra page.

The captured county page shows why the index citation matters: the order channel needs enough detail to find the filing. Court orders, divorce decrees, wills, and probate files do not belong to the Recorder. The county directs court orders and divorce records to the Superior Court Civil Division and wills or probate records to the Probate Unit.

Sacramento County Property Records Offline

The Assessor Parcel Viewer provides maps, assessed values, and limited property traits, but it is not an online owner directory. Sacramento County states that owner information is withheld from the web for privacy reasons. Public roll data can include the secured owner's name, situs address, mailing address, parcel number, values, exemptions, tax-rate area, zoning and land-use codes, Recorder book and page, maps, and property characteristics.

For the owner name and mailing address, use the Assessor office or its lobby computers at 3636 American River Drive, Suite 200. Lobby access runs Monday through Friday from 8 a.m. to 5 p.m. Staff may give general information for up to two parcels per phone call or email per day when supplied with an address or parcel number, but they do not run owner-name searches by phone or email. The office number is 916-875-0700.

Geography affects the next custodian. A postal city can differ from the city or unincorporated jurisdiction that governs a parcel. The Parcel Viewer helps identify whether a permit or code file belongs with the county or an incorporated city office. It also notes that assessed values update in early July and mid-September, while later roll corrections may not appear there.

Sacramento County Court Record Portals

Sacramento Superior Court divides online access by case type. Public Case Access handles criminal, family, traffic, and related searches, while civil, probate, and small claims moved to a newer Journal Technologies portal. Criminal name and case-number data runs from 1989 to the present. Family search accepts a required name with an optional filing-date range. Traffic uses a driver license number, citation, case number, XREF, or calendar mode. The newer portal may prompt for an account and can show PDF documents where available.

The court states that fees for online searches and document downloads have been discontinued. Still, the newest filing may not yet appear, errors can occur, and older, purged, or destroyed material may lack an available copy. Criminal results cover only Sacramento Superior Court filings, not arrests, federal cases, or other counties.

Most important, the court cannot make a fingerprint-confirmed identification. A matching name is not proof that the case belongs to the person being researched. Compare a case number, date, participants, filing events, and any permitted document before drawing a conclusion.

Note: Federal cases from Sacramento County use PACER and the Eastern District of California, not the county court systems.

Sacramento County Vital Record Boundaries

The Clerk/Recorder supplies certificates for county births and deaths since 1850 and marriages licensed in the county since 1850. There is no broad county web index for birth and death records. California Health and Safety Code section 103526 separates authorized from informational copies. Authorized copies require an eligible requester, valid identification, and a sworn statement or notarization when the order channel calls for it. Informational copies remain certified but cannot establish identity.

The birth record screen makes the authorized-versus-informational choice clear before payment. Birth copies cost $34 each.

The county death certificate service uses the same broad split between authorized and informational copies.

The captured death page documents the county route for deaths that occurred locally. Death copies cost $26 each.

Public marriage copies cost $19. The marriage certificate request page also marks the stricter rule for confidential marriages.

Under Family Code sections 509 and 511, a confidential marriage certificate goes only to a spouse named in the record or a person with a court order. No informational copy is issued.

In-person requests require an application and valid government photo ID for an authorized copy. Mail and fax orders require the application, payment, and a notarized sworn statement when an authorized copy is requested. Regular mail or fax orders take 5 to 7 business days from receipt. The county also offers an online vendor route and an expedited fax or online option with an added $19 delivery charge.

Public Safety Records in Sacramento County

The Sacramento Sheriff inmate name search requires a last and first name and reports current custody information. The Sheriff describes the system as up to date, but charges may change as a person moves through the judicial process. Searches by XREF or number provide another route when an identifier is known. SIRENS is a separate release-notification service available after finding a custody record or by calling the jail.

The screenshot shows the official county name form, which is narrower than a statewide custody search. For state prison custody, California's CIRIS can return a name, CDCR number, age, location, commitment county, admission date, and parole-hearing information. The California Megan's Law registry is a safety and public-notification tool, and it displays only registrants whose information may be disclosed by law.

Sacramento County Heir Record Searches

An heir or estate search often crosses several custodians. A death certificate can confirm the event, while a probate docket may identify a decedent, petitioner, personal representative, or named heir. The deed chain can show the former owner and later transfer. Obituaries and archived public files may then link relatives, residences, or name variants.

Probate is a court record, not a Clerk/Recorder record. When the web portal offers only a docket, request the permitted court file or copy from the Probate Unit. Older evidence may sit with the Center for Sacramento History, the official city and county archives with government files dating to 1849, or in California State Archives and Sacramento Public Library genealogy collections. This records chain is especially useful when a former property owner has died and the present ownership trail is unclear.

Sacramento County Records Offices

Contact the office that keeps the record. The Clerk/Recorder cannot supply a court file, and the court cannot release an assessor form. These core contacts cover the most common county routes.

Request Sacramento County Public Records

The California Public Records Act, Government Code section 7920.000 et seq., is the fallback when an agency record is open but absent from a portal. The California Attorney General's records FAQ explains that a requester must contact the agency holding the record. The Department of Justice does not fetch another local or state agency's files. Sacramento County departments may use NextRequest, an office form, email, mail, or their own request page.

1. Identify the custodian. Name the agency and record series, not just the subject or person.
2. Check the official index, portal, or posted copy process first. It may supply the record faster and show the identifiers needed for a request.
3. Describe the record with names, date range, case or document number, parcel number, and record type. Ask for an electronic copy when suitable.
4. Review the office's response, any cited exemption, and the copy or certification charge. Narrow an overbroad request if that will reach the needed file.
5. If access is wrongfully denied, California law provides judicial remedies under Government Code sections 7923.000 through 7923.500.

Sacramento County Records Scam Checks

A 2024 Sacramento County Assessor alert described a caller who posed as a county employee and asked a property owner for a Social Security number and date of birth to process an exemption application. Public parcel and tax data can make a false pitch sound plausible. Do not provide sensitive identifiers in an unsolicited call. Verify the contact through the Assessor's published number and official county channels.

The County District Attorney also warns about forged deeds, false liens, and fraudulent real estate recordings. Use the Recorder index to check whether an unexpected instrument was filed, then obtain the copy needed to inspect its parties and terms. Report a suspect filing to the Clerk/Recorder and the District Attorney's Real Estate Fraud Unit. Sacramento County does not have a verified official free owner-alert enrollment in the research record, so no third-party alert should be treated as a county service.
